About the role

The purpose of this role is to provide a high quality, administration support service to the Health and Safety team to ensure the compliance across all Homes for Haringey (HFH), relevant activities and to ensure continuous improvement in performance. The role also requires an individual with the ability to aid in the development, implementation, promotion, review and monitoring the HFH’s Health and Safety Management System and associated policies and procedures.

About you

While managing the administrative services for the Health and Safety team, you will ensure that you are committed to work under HFH’s core principles, values and key aims, HFH’s Business Plan and to effectively work to Divisional and Team Plans. You will maintain all Fire Safety office databases accurately and provide timely periodic and ad-ho reports as part of the organisation’s Health and Safety / Fire Safety Management System. You will also provide a point of contact and comprehensive administrative service for the Fire Safety team, including mailbox, accident form, referrals and general queries that are sent, redirecting queries to members of the health and safety team as required and in a timely manner.

You should have substantial experience working in a similar role and a good understanding of the role of the social housing organisation. You will attend and minute meetings as required, and assist with preparation, participate with other team members to ensure that effective and efficient health and safety support is delivered throughout the organisation and ensure that one’s own productivity is adequate to meet all programmes and that the services are provided in a cost effective and professional manner.

Key Responsibilities

  • To maintain all Fire Safety office databases accurately and provide timely periodic and ad-hoc reports as part of the organisation’s Health and Safety / Fire Safety Management System.
  • Access and follow relevant information on policies and procedures and complete tasks to required standards in line with these
  • Recording accident reports, updating systems/spreadsheet and follow up actions as required
  • Collation of periodic fire safety KPIs statistics and communication to relevant partiesAdministration of the PVC procedure, including information gathering, letter distribution, organisation of meetings, minuting meetings, etc
  • Provide good communication within the team and throughout HFH.Assist with all risk, safety and compliance matters, ensuring that all company procedures are adhered to and communicated to relevant personnel.
  • Record documentation and track / review, ensuring they are in date, and changes communicated accordingly.
  • Processing and checking all reports
  • Organising meetings and conference calls, booking meeting rooms, ordering catering, taking meeting minutes.
  • Service, attend and minute meetings as required, and assist with preparation.
  • To participate with other team members to ensure that effective and efficient health and safety support is delivered throughout the organisation.
